آشنایی با نظام five s) 5S )

5 S خلاصه عبارات Seiri ( سازماندهی ), Seition ( نظم و ترتیب ), Shitsuke (انضباط), Seiso (پاکیزه سازی) و Seiketus  (استانداردسازی) می باشد. 5 S نظامی است که در ژاپن بصورت نهادینه مورد استفاده قرار گرفته و نتایج بسیار خوبی را برای واحدهای صنعتی و خدماتی به ارمغان آورده است. نتایجی که معمولاً با استفاده از این روش حاصل می گردد را می توان به اختصار به پیشگیری از حوادث , کاهش وقفه کاری , کنترل عملیات تولید و افزایش بهره وری در محیط کار عنوان نمود. بطور کلی هدف نهایی 5 S پیشگیری از اتلاف است. علیرغم اینکه سیستم 5 S به ظاهر خیلی ساده و قابل فهم است و انجام آن اصول نیز خیلی ساده به نظر می آید ولی عموماً سازمانها و واحدها برای پیاده کردن آن در عمل با مشکلات فراوان روبرو هستند. دلیل این امر را باید در ظاهر ساده آن جستجو کرد. در واقع تحقق 5 S از آن رو دشوار است که مدیران و پرسنل اجرایی از اهداف و ماموریتهای آن بصورت صحیح اطلاع کاملی ندارند. بنابراین اجرای نظام 5 S و تدارک بستر مناسب برای انجام آن تا زمانی که اصول آن به خوبی شناخته نشده کاری بسیار دشوار است. به همین خاطر به منظور آشنایی مختصر مدیران با این روش هر یک از این اصول به اختصار معرفی می گردند. 1) سازماندهی ( Seiri )سازماندهی در عام ترین مفهوم آن عبارت است از نظم دادن به کلیه اجزای یک سازمان جهت نیل به اهداف. از دیدگاه 5 S سازماندهی به معنای تشخیص ضرور از غیر ضرور , اتخاذ تصمیمات قاطع و اعمال مدیریت اولویتها برای رهایی از غیر ضروریهاست. نمونه هایی از اجرای این S را می توان بصورت زیر فهرست نمود:• دور ریختن اشیایی که به آنها نیاز ندارید ( جمع آوری و بایگانی مناسب روزنامه ها و صورتجلسات ... ). • رفع عیوب و خرابیها ( تعمیر ملزومات اداری , تجهیزات فنی و خودروهای مورد استفاده... ). • مبارزه با علل آلودگیها ( استفاده از دستگاههای تهویه مطبوع , ممنوع کردن کشیدن سیگار در محل کار , حمل و نقل مناسب غذا , استفاده بهداشتی از ذخیره آب... ). • بازبینی پوششها و محفظه ها به منظور پیشگیری از علل آلودگی ( بسته بندی مناسب قطعات در انبار , استفاده از درزگیر در پنجره ها و درپوش برای فاضلابها... ). • تمیز کردن محل کار ( شستشوی مرتب با مواد ضدعفونی کننده , نظافت در انبار , جمع آوری روغنهای مستعمل... ). • جلوگیری از آلودگیهای کف سالنها (شستشوی منظم سالن تعمیرگاه , مشبک نمودن جایگاههایی که آلوده کننده هستند مثل تعویض روغنی و نقاشی... ). • حذف آلودگیهای گرد و غبار ( استفاده از تهویه مطلوب در انبار و سالن تعمیرگاهها , استغاده از فیلترهای صافی هوا... ). • سازماندهی انبارها ( استفاده از سیستمهای نوین انبارداری... ).  

2) نظم و ترتیب ( Seito )نظم و ترتیب به معنی قرار دادن اشیاء در مکانهای مناسب و مرتب به نحوی که بتوان از آنها به بهترین وجه استفاده کرد. نظم و ترتیب راهی است برای یافتن و بکار بردن اشیای مورد نیاز , بدون انجام جستجوهای بیهوده. هنگامی که هر چیز با توجه به کارکرد و در نظر گرفتن کیفیت و ایمنی کار , در جای مناسب و مشخص قرار داشته باشد , محل کار همواره منظم و مرتب خواهد بود. بدین منظور باید همه وسایل مورد نیاز را دقیقاً شناسایی کرده و کارکرد هر یک از آنها را نیز مشخص نماییم. نمونه هایی از اجرای این S را می توان بصورت زیر فهرست نمود: • اشیایی را که غالباً استفاده می کنیم , در محل کار قرارداده یا با خود حمل کنیم. ( نصب ابزار آلات بر روی بوردهای مخصوص در تعمیرگاهها , تجهیز میزهای افراد به ملزومات اداری... ) • اشیایی را که به ندرت استفاده می کنیم , در جایی دور از دسترس قرار دهیم. (استفاده از سیستم بایگانی مناسب به طوری که سوابق کاری سالهای گذشته در جاهای دورتری قرار گیرد... ) • اشیایی را که استفاده نمی کنیم دور بریزیم( دور ریختن برگهای زائد... ). • استقرار هر چیز در جای مشخص و مخصوص به خود ( استفاده از فایلها و قرار دادن ملزومات اداری در جای خود , استقرار ابزار آلات و تجهیزات در جای مناسب در تعمیرگاهها پس از استفاده... ). • آوردن و بازگرداندن هر چیز در حداقل زمان ( یافتن سوابق از بایگانی , سهولت دسترسی به ابزار در تعمیرگاه... ). • علامت گذاری محدوده ها و محل استقرار اشیاء ( نشانه ها و علائم مربوط به تعمیرات در سالن تعمیرگاهها , مشخص شدن محل استقرار خودروهای شرکت ). • نظم و ترتیب در تابلوی اعلانات ( نصب پلاکاردهای تبلیغاتی شرکت در جاهای مناسب... ). • طراحی اعلانات به نحوی که خواندن آنها آسان باشد ( استقرار مناسب مانند در معرض دید بودن , طراحی زیبا و خوانا بودن... ). • استقرار کارکردی مواد , قطعات در قفسه ها و نظم بخشی به ابزارها و تجهیزات. ( جدا نمودن قطعات معیوب از بقیه در انبارها , چیدن قطعاتها در پالتهای انبار مطابق با اصول انبارداری , استفاده از سیستم fifo ) 3) پاکیزه سازی ( Seiso ) در دیدگاه 5S پاکیزه سازی عبارت از دور ریختن زوائد و پاکیزه کردن اشیاء از آلودگیها و مواد خارجی است. به عبارت دیگر پاکیزه سازی نوعی بازرسی است بازبینی و پاکیزگی محیط کار برای حذف آلودگی مورد تاکید در این بخش از نظام 5S قرار دارد. برخی از لوازم , تجهییزات و مکانها , لزوماً باید بسیار پاکیزه و عاری از هر نوع آلودگی نگهداری شوند , بنابراین لازم است که آنها را دقیقاً شناسایی نموده و بر این باور بود که پاکیزه سازی تنها تمیز کردن محل کار و لوازم موجود در آن نیست , بلکه پاکیزه سازی امکان انجام بازرسی و بازبینی را نیز بایستی فراهم آورد. نمونه هایی از اجرای این S را می توان بصورت زیر فهرست نمود:• آسان سازی و پاکیزه سازی و بازبینی ( بازرسی و بازدید مدیریتها از مجموعه تحت پوشش خود ...). • مسئولیتهای تمامی افراد برای پاکیزگی محل کار ( حفظ نظافت و پاکیزگی محیط کار هر یک از پرسنل ...). • انجام بازبینی و پاکیزه سازی مستمر جهت رفع مشکلات جزئی • پاکیزه کردن محلهایی که از چشم افراد به دور است ( زیر میزها , گوشه های اتاق , زیر ملزومات اداری و تجهیزات فنی ...). • فعالیتهای لازم توام با مسابقاتی برای تمیز کردن هر چه بهتر ( در نظر گرفتن یک معیار در ارزیابی نمایندگیها و تعیین واحد نمونه در شرکت و اختصاص یکی از پارامترهای ارزیابی ماهیانه پرسنل به امر پاکیزگی محل کار... ). 4) استانداردسازی ( Seiketus ) استانداردسازی عبارت است از کنترل و اصلاح دائمی , سازماندهی , نظم , ترتیب و پاکیزگی. تاکید اصلی در استانداردسازی متوجه مدیریت است که با استفاده از چک لیستهای مناسب و استاندارد کردن مقررات با استفاده از نوآوری و خلاقیت , محیط کار را به نحوی استاندارد و کنترل نماید که همواره همه عوامل با سرعت و دقت لازم مورد استفاده قرار گیرند. نمونه هایی از اجرای این S را می توان بصورت زیر فهرست نمود:• استفاده از علائم و نشانه ها ( در سالن تعمیرگاهها , انبار و دفاتر اداری... ). • علامتگذاری محدوده های خطر و یا مراقبت خاص ( در انبار مواد شیمیایی , تجهیزات با فشار کارکرد با لا ... ). • علائم نشاندهنده جهت و راهنما ( جهت حرکت خودروها در تعمیرگاه و استفاده از تابلوی راهنمای واحدهای طبقات در معابر ورودی ساختمانها... ). • برچسبهای نشاندهنده قطعات اصلی ( استفاده از برچسبهای ویژه شرکت از قبیل هولوگرام , بارکد و ... ). • رنگهای هشدار دهنده. • علایم مربوط به تجهیزات خاموش کننده (علائم مربوط به زنگ خطر و و.سایل ایمنی و راهنمای از سیستم اطفای حریق ... ). • تمهیدات پیشگیری از خطا و اشتباه ( آموزش پرسنل در خصوص بروز خطر , تدوین دستورالعملهای کاری برای استفاده از ابزار آلات و تجهیزات ویژه .. ). • برچسب مواد حساس. • برچسبهای نشاندهنده میزان دقت ابزار ( نصب میزان دقت تجهیزات و تاریخ اعتبار و کنترل برای آنها ... ). • استقرار اشیاء به نحوی که بتوان از آنها سریعاً استفاده نمود و آنها را کنترل کرد. 5) انضباط ( Shitsuke ) انضباط عبارت است از آموزش عادات و توانایی هایی جهت انجام یک وظیفه خاص. نکته اصلی در اینجا ایجاد عادات درست به جای عادات نادرست است. این کار را باید از طریق آموزش شیوه های درست انجام کار به افراد و تمرین دادن آنان در این زمینه , آغاز نمود. همچنین این تمرینها از طریق وضع مقررات و پیروی جدی از آنها تحقق می پذیرد. به عبارت دیگر انضباط فرآیندی , تکرار و تمرین انجام یک کار است. مثلاً کاملاً ضروری است که رعایت مقررات ایمنی برای افراد به صورت یک عادت درست درآید و به این نکته تاکید شود که : انضباط اصلی جدایی ناپذیر از ایمنی صنعتی است. نمونه هایی از اجرای این S را می توان بصورت زیر فهرست نمود: • تمرین نظم و ترتیب ( آموزش , نظارت مستمر , ارزیابی و پاداش به پرسنل جهت نظم و انضباط ... ). • تمرین وقت شناسی ( آموزش , استفاده بهینه از زمان , بخصوص در بخش تعمیرات در سالنها و برقراری جلسات ... ). • پوشیدن کفش ایمنی. • تمرین اقدامات ضروری ( استفاده از تجهیزات ایمنی ... ). • توجه به زیباییها و رعایت ظواهر ( استفاده از لباسهای کار مناسب در تعمیرگاه وشرکت ... ). • نگرش مدیریت به فضاهای عمومی ( ایجاد فضاهای سبز و یا امکانات رفاهی در محل کار... )
